What you agree to when purchasing coaching

Our organisations page states what coaching costs. Here's what you commit to when purchasing: what a spot exactly is, what is and isn't included, how invoicing works, and what we do and do not promise.

What this page is and isn't

This is a summary in plain language, intended to help you assess beforehand whether this suits your organisation. It is not the contract. With a quote, you will receive the full bundle terms, and that text is leading should there ever be a discrepancy. If you wish to read them sooner, please feel free to request them.

You purchase spots, not a subscription

A spot is a coaching programme for an employee: 12 coaching hours, to be completed within 180 days after the first session, online or on location. The coach and employee schedule those hours themselves and jointly determine the content.

Per spot, you pay two amounts:

  1. The guidance fee to us. You pay this in advance, per spot, according to the tiered rates below.
  2. The hours of the coach your employee chooses. At that coach's hourly rate, and only for the hours actually provided.

There is no mark-up, no mediation margin, and no administration costs on the coaching fees. We exclusively earn from the guidance fee. This commitment is stated in the terms and conditions, and you may have its compliance verified by a chartered accountant.

All amounts are exclusive of VAT. A bundle is valid for 12 months and bundles are stackable. A deviating, negotiated price is confidential; this list is not.

What is included in the guidance fee

  • Your employee's search, comparison, and request for a coach, and their free choice in this.
  • The private coaching space, with chat and messages between employee and coach.
  • A replacement coach if the collaboration isn't working, retaining the remaining hours.
  • Inviting employees, without a maximum and without an invitation costing a spot.
  • The employer portal with the bundle status and group-level figures.
  • The self-scans and other materials included in the chosen package.
  • Invoice, administration, and support by email.

What's not included

  • The coaching costs themselves. These are what the chosen coach charges, within the ceiling below.
  • Travel and accommodation costs for your employee.
  • The costs of a location your employee chooses, if the coach and employee do not meet online or at the coach's premises.
  • Hours exceeding 12. If someone wishes to continue, you use another spot, or they arrange it directly with the coach outside of our platform.
  • Diagnosis, treatment, absenteeism support, occupational social work, or any form of care. Coaching is not healthcare.
  • Customisation, integrations, or reports not standard within the platform.

Two invoicing options, and you choose

The choice is stated on your quote, applies to the entire bundle, and does not retroactively affect spots for which a coach has already been proposed.

Standard: the coach invoices you

The coach sends their costs directly to you and is paid by you. We only invoice the facilitation fee. You will then see the coach's name on that invoice.

Invoicing via Reallead

We pay the coach and pass the costs on to you: a total amount per period, without names, without session dates, and without line items per trajectory. The coach's name therefore remains out of sight. This option is available from 5 spots, because with fewer spots there is little to aggregate, and it doesn't offer you a privacy benefit.

In both options, you pay exactly what the coach charges. The difference lies in who sends the invoice and what it states, not in the amount. We will discuss which option suits you when we provide the proposal.

Maximum cost per spot

  • For trajectories paid for by an employer, a ceiling of 300 euros per hour, excluding VAT, applies. A coach with a higher rate cannot accept such a trajectory.
  • The coach's hourly rate is fixed at the moment they are proposed to your employee. If they increase their rate afterwards, it no longer applies to that trajectory.
  • Your maximum can therefore be calculated in advance: the number of spots multiplied by 12 hours multiplied by the hourly rate, plus the facilitation fee per spot. We will calculate this for you in your proposal, including the reference date.
  • You will never receive a supplementary charge for hours within an ongoing trajectory.

VAT

21 percent Dutch VAT is always due on the facilitation fee.

The VAT regime of the coach themselves applies to the coaching costs. If a coach does not charge VAT due to the small business scheme or an exemption, we will also not charge you VAT on that portion. These terms and conditions are written for organisations established in the Netherlands.

How long a bundle is valid

  • A bundle is valid for 12 months, calculated from activation.
  • Spots not assigned by the end date will expire. The facilitation fee for these will not be refunded or converted into credit or a discount.
  • There is no tacit renewal and no automatic direct debit. To continue, you purchase a new bundle.
  • Spots are not transferable to another organisation, including a subsidiary or sister company.
  • A spot is only deducted from your bundle when a coach accepts the request. If they do not accept, or if your employee withdraws the request, nothing is used.

Your employee chooses, not you

You control two things: how many spots you purchase and who you invite. Afterwards, your employee remains in control. There is no prior per-employee approval, no per-person budget, and no option to appoint a coach. Your employee chooses their own coach, and chooses whether to use a spot from you. That is not a practical choice but the core of the agreement: without that freedom, coaching via the employer is not confidential.

What we do not promise

We do not promise a result. The outcome of coaching largely depends on your employee themselves, and on the connection with their coach. What we do promise: if there is no connection or if a coach falls short, we offer a replacement coach while retaining the remaining hours.

In case of a shortcoming, remedy precedes compensation, and our liability per incident is limited to the amount of the relevant programme. The full arrangement is stated in the bundle terms and conditions.

What you, as an employer, will see

What we do and do not show an employer is a strict boundary, and that is separate from the commercial part on this page. Registration does not give you insight, and you will never receive substantive data.

These business terms and conditions apply in addition to our general terms and conditions. Where they regulate something differently for an organisation purchasing a bundle, these take precedence.
